Coach's Getting Started Lab: Recruiting

Follow this step-by-step tutorial to get up and running with ARMS!

Our Customer Success Team has found that the following 17 actions are some of the most common tasks completed in ARMS by coaches. By using this getting started lab and completing the tasks, you should become familiar with basic ARMS functionality as a new user.

1) Add a recruit with your personal email address (this should not match your primary email address on your ARMS User Profile)

  • Select the Recruiting Module on the left hand side and scroll down to “Quick Links”. From here, click “Add New Recruit”. Set up a fake recruit with a personal email and fake mobile phone number.

  • Set their grad year to 2018 and their status as a Prospect

2) Edit the recruit's High School

  • On the Recruit’s Profile, use the Paper and Pen button in the upper right corner to edit the Recruit’s information. Underneath the name, find the field with a magnifying glass beside it. Type a school in the field, and select the correct one from the drop down that appears.

3) Add a related contact to a High School 

  • In the recruiting module, go to the High Schools page. Use the filters and the “Search By Name” feature in the upper right corner to locate the high school you added to the recruit profile in Step 2.

  • Click on the High School name to jump into the profile.

  • Scroll down to the Staff Section.

  • Use the orange “Add Staff” Button to add a new staff member to the High School.

  • After you have added the coach, return to the Recruit profile with the same high school. Note that the third badge underneath the name of the recruit now has a 1 associated with it. Click on this badge to see the newly created coach added as a relationship to the Recruit.

4) Add a video link to the recruit 

  • Find a video on YouTube and copy the URL of the video. On the profile, use the plus button in the upper right corner, and select Add Video. Paste in the link, you’ll see the information from the URL will autocomplete the title and details. Select “Add the Video” in the lower right corner.

5) Add the recruit to a group

  • On the Recruit’s profile, use the Plus Button in the upper right corner, and select “Add Recruit to Group”. Type anything in the textbox to make the drop down appear and select the first option to “Add New Group”. Type the name “Call List”, and click “Add to the New Group”.

6) Create a saved search that fits the criteria of the recruit you created

  • Select Recruiting > Recruits. From here, use the facets to filter the recruits. Use the Status filter to select only prospects. Next, use the grad year facet and select only 2018 recruits. Select “Save Search Options” at the top of the Facet list, and name the group “2018 Prospects”

7) Create a new recruit field 

  • Select Administration > Sport > Select your Sport > Find the tab labeled “Recruit Fields”. Use the orange button in the corner to “Add Custom Recruit Field”. Name the field “High School Jersey #”, select the category “Athletic” and a type of Textbox. Click “Save Custom Field”.

8) Add this field to your custom column view

  • Select Recruiting > Recruits. Use the hamburger button in the upper right corner and select “Customize View”. Drag and Drop the fields you need into the right column. Click the save button corner in the upper right, and return back to Recruiting > Recruits. Note the field has now been added as a column.

9) Add this field to your custom recruit profile 

  • On the profile, use the hamburger menu in the upper right corner and select “Customize View”. Once you have customized the profile to your liking, select save in the upper right corner. Use the global search bar at the top of the screen to get back to the recruit.

10) Print a recruit profile 

  • On the profile, use the hamburger menu, and select “Print”. If nothing shows after you selected print, be sure to allow pop-ups on ARMS.

11) Send an email to the recruit, include a questionnaire link token

  • Select the Recruiting Module on the left hand side and scroll down to “Quick Links”. Click on “Create a new Email”. In the “To” field, search for the Recruit’s Name. Use the Mail Merge Token button on the right hand side. Use the “First Name” button to use the first name token in the body of the email. Next, use questionnaire button to select the questionnaire token. Since this email is going to the fake recruit created with your personal email. This is a good time to fill out the questionnaire your personal email receives to review it.

12) Add a note/comment to the recruit

  • On the Recruit’s Profile, scroll down on the right side to the Recent Activity Stream. Use the “Add a comment” box to type your note. Hit enter to save the note.

13) Add an Unofficial Visit for your Recruit

  • On the Recruit profile, hover your mouse over the Visits panel on the right hand side. Select the Unofficial Visit button that appears. Enter in the information asked to schedule an unofficial visit.

14) Log into ARMS Mobile

  • On your mobile phone, search for “ARMS Coach” on the app store. Download and open the app. Log in with the same username and password that you use to log in to ARMS on your computer. Your recruiting data will now sync over to the app.

15) Log a Phone Call with your Recruit

  • On the mobile app, select “Recruits” on the bottom bar. From here, you will see the smart group we created in Step 6. Click on the smart group labeled “2018 Prospects”. Click on the recruit we created in Step 1. On the profile, you can now select the phone to log a call or make a call.

16) Add a new Recruiting Board

  • Select the Recruiting Module on the left hand side and click on “Recruiting Boards”. Then select “Add New Board” on the right side.

17) Add your recruit to a Recruiting Board

  • Go to your recruit’s profile, and click on the plus button in the upper right hand corner. Next, choose “Add to Board”. Then, you can choose which recruiting board and category you want this recruit to be a part of.
