How to make a former student-athlete into a coach or administrator.

If a former student-athlete returns to your campus as an administrator or coach, you can transition their student-athlete profile to a coach or staff profile in Compliance + Recruiting.

Transition a student-athlete profile to a coach or staff profile

Step 1: Update profile information

  1. Navigate to the former Student-Athlete's Profile.

  2. Update their email and username fields.

We suggest adding +SA before the @ (test+SA@school.edu) in their email address to allow our system to recognize the email as a unique email, whereas any communication sent to the email if needed, will still go to the user’s account.

Step 2: Update roster status

Within the former student-athlete's profile update the roster status to:

  • Account status = Inactive

  • Hub athlete status (if Hub customer) = Alumni

  • Hub profile status (if Hub customer) = Active

If you are a Teamworks Hub customer, you will need to next update the former student-athlete’s user type to Coach.

Navigate back to Compliance + Recruiting and create a new user coach account for the individual. View our Add a New Users help center article for more information on how to add a new user.

If your organization utilizes multiple Teamworks products, be sure to notify your Product Success or Customer Success Manager so that they can ensure proper linking across all applicable product lines.

Current student-athlete needing additional access to Compliance + Recruiting

If a current student-athlete is working within the athletic department and needs additional access to Compliance + Recruiting, a new Compliance + Recruiting profile will need to be created for the student-athlete using their personal email address as their username.

If your organization uses SSO to log into Compliance + Recruiting, you will not be able to create a user profile for the student-athlete using their personal email address as they will not be able to access Compliance + Recruiting without their SSO credentials.
