Getting Started - Initial Department Setup

Complete each task to get your department setup in ARMS

1. Import Users

 ARMS will assign the Primary Contact the workflow "Initial Department Setup - Get Started" after the initial Kickoff Call. This workflow will request the upload of the initial staff users that should have an ARMS User account. 

Users should be provided in a Spreadsheet format with headers for the following:

  • Name

  • Email

  • Title

  • Sport (if applicable)

  • Mobile Phone (optional)

2. Define the Academic Year(s)

Rosters are associated with predefined Academic Years & Terms in ARMS. Additionally, these Academic Years/Terms are used in CARA Management.  

  • Academic Years are configured in Administration -> Compliance

  • Years & Terms must be saved in order to associate a roster member with a First Term Enrolled.

3. Import Rosters

 ARMS will assign the Primary Contact the workflow for "Initial Department Setup - Rosters" after the initial Kickoff Call. This workflow will request the upload of the current academic year rosters. 

Rosters should be provided in a Spreadsheet format with required headers (but not limited to) for:

  • Name

  • Email

  • Student ID Number

  • Sport

Helpful Hint: This information is often times exported from sources like CAi, Banner, or PeopleSoft.

4. Import Recruiting/Team Data

Recruit and/or Student-Athlete data can be exported from a current provider and sent to the ARMS Support Team for import to ARMS. If your department utilizes a central recruiting service for all sports, we recommend that you request a "full data export" from the service provider. You can also work with your ARMS Implementation Coordinator on best practices for gathering your data for import. 

Helpful Hint: If coaches have individual spreadsheets of data, please send those to help@armssoftware.com for import.

5. Schedule Training

 Work with your ARMS Implementation Coordinator to schedule a date for training for the entire athletic department. A typical initial ARMS Training schedule looks like:

  • Coaches Training (approx. 90 min - 2 hrs)

  • Workflow Training (Athletic Department staff, excluding Coaches - 45 min.)

  •  Coaches Sport Specific Meetings (scheduled as needed)

  • Optional Meetings: e.g Football Specific Training (approx. 1-2 hours), Financial Aid (approx. 30 minutes), Academics (approx. 30 minutes)

Online training for individual coaching staffs or groups of staffs is always available. Please contact ARMS Support or your Account Manager to schedule!
