Within the CREATE EVENT module, you will be able to find the PUBLIC/PRIVATE designation at the bottom under EVENT DETAILS

PUBLIC - This will allow all users in ARMS with the ability to see the TEAM (or Individual's My Calendar) to view this event. If they have the ability to view details of events in ARMS, they can click on the event and view information such as who is associated with the event.

  • This is best used when creating an event that is going to be submitted for CARA (building it to allow Compliance and other staff members to view the details of the event)

PRIVATE - This will only allow users who are listed as PARTICIPANTS of the event to view the details of the event. Participants will be denoted on the right hand side of the event:

FOR PARTICIPANTS - when they view this calendar event it will look like a normal public event to them where they can click into it and view the details of the event as needed on their MY CALENDAR.

FOR NON-PARTICIPANTS - when they try to view this event it will display as BUSY. It will hide all details of the event (Title of event, location, participants, etc.)

This will also display on the SCHEDULING CONFLICTS feature within the CREATE EVENT Module as well.

  • This is a really good way to designate individual meetings (whether it be for SA's or Staff members) to allow for the participant(s) to see the details of the event however not allow everyone with access to calendars in ARMS to know the details of the event.

WARNING!! -- DO NOT LOCK YOURSELF OUT OF AN EVENT!!!

  • If you create a PRIVATE event and DO NOT list yourself as a participant, you will NOT be able to make an edit to this event or view the details of the event. It will be locked from your view.
