How do automated eligibility rules work?

ARMS Automations enable you to define custom rules for when any of the following should be updated on a student-athlete profile:

  • Practice, Competition, and Eligibility flags on Fall, Spring, Winter, and Summer terms

  • Season-Specific Student-Athlete Custom Fields

Automated eligibility rules evaluate your entire list of student-athletes based on any combination of the following types of triggers:

  • A Workflow Packet from the current season is fully approved

  • A particular step in a Workflow from the current season is approved

  • A particular step in a Workflow has ever been approved

  • A student-athlete custom field from the current season is a particular value

  • A student-athlete custom field that is not season-specific is a particular value

  • An eligibility flag (Practice, Competition, Medical) is Yes or No

Automated eligibility rules can then perform automatic updates to the student-athlete as follows:

  • An eligibility flag for the Fall, Winter, Spring, or Summer term can be set to Yes or No

  • A student-athlete custom field for the current season can be set to a specified value

  • A student-athlete custom field that is not season-specific can be set to a specified value

How do I get my rules set up?

Just reach out to us with a description of the rule you want, and we'll configure it in ARMS.

How often do the rules fire?

Eligibility rules are evaluated and processed on a periodic basis, typically every 10 minutes.

What happens if something changes to cause a student-athlete to no longer meet the rule criteria?

If a change to the rule is made, a workflow is added/removed from a Workflow Packet, or a student-athlete's underlying data is changed, the rules will evaluate and revert the value as if the rule had never passed.

What are some examples to get my wheels turning?

The following examples are representative of the types of eligibility rules that can be configured in ARMS. These are not the only two possible examples:

Example 1:

When the "Incoming Athlete Beginning of Year Workflows" packet OR the "Returning Athlete Beginning of Year Workflow" packet mark the "NCAA Forms Complete" field for the current year to Yes.

Example 2:

When the "NCAA Forms Complete" field is Yes AND the "Met with Compliance" custom field is Yes AND the Medically Eligible flag is Yes THEN mark the athlete as "Eligible for Practice" for the Fall and Spring term.
